Why any of this matters

Decided once. Repeated thousands of times.

Embroidery is unusual among the things you buy for a uniform program. Almost everything else can be adjusted next time — a size, a colour, a supplier. The embroidery setup is settled once and then reproduced on every garment that follows, for as long as the branding stands.

So the cost of getting it wrong is never the setup. It is every garment after it, and the awkward conversation about whether to live with it or start again. None of these decisions are difficult. They are just easier to make deliberately than to unpick.

The six decisions

Wherever you are in it, start here.

Most organisations don’t arrive at the beginning. They arrive holding a file somebody found, or halfway through a rebrand, or with a range that already looks inconsistent. Find the one that sounds like you.

You have a logo somewhere, and you’re not sure it’s the right file.

Almost nobody can immediately lay hands on their original artwork, and it has never stopped a uniform order. What matters is what you have, not what you are missing.

Somebody needs to tell you whether it will actually work.

Before anything is prepared, the artwork is assessed — what holds in thread at the size you want, what may need adjusting, and what we would recommend changing and why.

It has to become something a machine can stitch.

A logo file describes a picture; an embroidery file describes an action. The second is written using the first, and the decisions taken while writing it are what the finished mark looks like.

You need to know how your mark will look in thread.

Thread is a fixed physical range rather than a colour picker, and a needle resolves detail differently from a printer. Both are settled before production, not discovered after it.

You have a mixed range, and it needs to look like one range.

Scrub tops, tunics, polos, shirts and jackets are built differently, so the mark cannot sit at an identical coordinate on all of them. Holding the perceived position is what makes a range read as one organisation.

Individual staff names are going on the garments too.

Names and roles are a separate treatment sharing the same garment as the logo, and the two have to be decided together rather than one after the other.

If you only read one thing

The three that are hardest to walk back.

Most of what these guides cover can be revisited on the next order without much cost. Three cannot, because they are already stitched into garments people are wearing: the thread colours chosen against your brand, the size the mark is set at, and where it sits on each garment in the range.

All three are confirmed with you before production rather than decided on your behalf. That is the whole reason the approval step exists, and it is worth using properly rather than waving through.

Yes. The guides exist so the detail is available in writing when you want it, not to replace a conversation. Anything here can be talked through with our team instead.

The artwork and digitising decisions are the same either way. Whether a particular existing garment is suitable for embroidery depends on the garment itself, so that is worth a conversation rather than an assumption.

In our own Australian facility. Stitch files are built there too rather than being sent offshore, which is why the answers in these guides come from the people who will run the job.
