What uniform management covers

Everything after "which garment do we choose?"

Choosing the range is a one-off decision. Managing it is continuous — new starters, replacements, size changes, embroidery consistency, budgets and multiple sites all pulling in different directions. A managed program takes that continuing work off your team.

Approved range

A defined set of garments for your organisation, by role and site.

Embroidery standard

Logo placement and staff names applied to one saved standard.

Staff ordering

Your team orders for themselves from what has been approved.

Budgets and allowances

Per-employee allowances and spend visibility, applied automatically.

New starter kits

A ready-made pack so a new employee is in uniform from day one.

Reordering and replacement

Repeat orders without re-specifying anything.

Why it matters

The cost is rarely the garment

For most healthcare organisations the uniform spend is predictable. What is not predictable is the administration around it — the hours spent chasing sizes, re-explaining embroidery, approving orders one at a time and correcting inconsistencies after they have already been worn.

Uniform management exists to make that work disappear into a process, so the people running your practice or your sites are not also running a uniform desk.

Scattered ordering

Requests arriving by email, phone and corridor

Inconsistent branding

The same logo applied differently across sites

Slow onboarding

New starters waiting on their first uniform

No spend visibility

Uniform cost only visible after the invoice

Range drift

Substitutes creeping in as items change

Manual approvals

Every order landing in a manager’s inbox

Inside a managed program

Set the rules once, then let them run

Your program is defined with you at the start — the garments, who can order what, how branding is applied and how spend is controlled. After that it runs to those rules rather than to whoever happens to be handling it that week.

Role and site-based product access

Saved embroidery and placement standards

Approval rules, including auto-approval

Per-employee allowances and budgets

New starter packs ready to assign

Full order history for every site

One standard

Every garment decorated to the same standard

Consistency is where uniform programs most often slip. A logo applied slightly differently on a second order, a replacement garment that doesn’t match, a new site introducing its own version — each is small on its own and obvious once a team is standing together.

Your artwork is prepared once and the embroidery setup is saved against your program, so the garment ordered next year is decorated to the same standard as the one ordered today. Everything is embroidered in our own Australian facility rather than sent offshore.

Who does what

We take the administration. You keep the decisions.

A managed program should not mean handing over control of how your organisation looks. The rules stay yours; the work of applying them becomes ours.

When the range changes

How it works

From set-up to steady state in four steps

We build the program with you, then it runs quietly — so uniform management stops being a recurring task on someone’s list.

01

Define the range

Agree the garments for each role, site and season.

02

Set the branding

Artwork prepared and the embroidery standard saved.

03

Set the rules

Access, approvals, allowances and new starter packs.

04

Run and review

Staff order, you keep visibility, we keep it consistent.

Visibility

Know what was ordered, by whom, at which site

Uniform spend is easy to lose track of when orders arrive from several places at once. A managed program keeps one record — so a question about a site, a role or a period has an answer rather than an investigation.

A healthcare example

What managed looks like for a growing group

A representative example of how a managed uniform program supports a healthcare organisation running several sites.

The scenario

A group operating four clinics with around 120 staff, each site ordering separately, three slightly different versions of the logo in circulation and no single view of what had been spent.

The shape of the program

One approved range across all four sites

A single saved embroidery standard

Role-based access so staff see only their own options

Allowances set per employee, applied at checkout

New starter packs assigned on day one

One order record covering every site

Common questions

Uniform management — frequently asked questions

An approved range for your organisation, a saved embroidery standard, staff ordering access, approval and allowance rules, new starter packs, reordering and one record of what has been ordered across your sites.

No. The portal is how most organisations run day-to-day ordering, but a program can be managed without it. It is included with your Med Uniforms account rather than sold separately.

Yes. Ranges can differ by site, by role or both, while the branding standard stays the same across all of them.

You do. Product access, approvals and allowances are set as rules for your organisation, and we apply them

A new starter pack can be defined in advance so the right garments, sizes and embroidery are assigned without anyone re-specifying the order.

Yes. All embroidery is done in our own Australian facility, which is also why the setup for your program stays consistent between orders.

Yes. Ranges change as roles, sites and garments change — the program is updated and the new standard applies from that point.

Yes. Managed programs suit single practices as well as multi-site groups; the difference is the number of rules, not the level of service.
